Post Marketing Event Import

What to do with Event Leads to Import into HubSpot.

Before you can import event leads into HubSpot, we need to create spreadsheets and set them up correctly in order to ingest the data.

Contacts:

Contact import files must contain:

  • Email
  • Lead Source
  • Lead Source Detail
  • Brand
  • Lead Type
  • Company Name - this MUST match exactly the Company Name on the Company import file. This is because we use this to connect the contact to the company record.

Companies:

Companies import file must contain:

  • Address
  • City
  • State
  • Postal Code
  • Domain Name (ex. apcoholdings.com)
  • Lead Source
  • Lead Source Detail
  • Brand
  • Type

Deals

Deals import file must include:

  • Company name - this MUST match exactly the Company Name on the Company import file. This is because we use this to connect the deal to the company record.
  • Associated Contact Email Address
  • Channel
  • Pipeline
  • Deal Lead Source
  • Deal Lead Source Detail
  • Acquisition Type
  • Brand

Once the files are created, we will need to validate whether the Company record exists already inside of HubSpot. This is a manual process of searching for the Company Name, and if the record is located, update an additional column on the company import sheet "Record ID" with the corresponding Record ID.

We will then import the contacts and companies, and deals.

This is a typical process, however; the companies file can take a day to get all of the mappings, so if it's preferred, we can get the contacts and deals in there right away, and then add the companies and associate them to the correct contacts/ deals.

Note: When importing companies, make sure to import the Record ID column to match companies that are already existing in HubSpot.

When importing companies/contacts/deals together, use the "Company Name" field to associate them when they match exactly. This is why it is very important to make sure that the naming convention is consistent across all object import files.
